How your medal emails look

How to set the sender name, reply-to address, your own message and the default send time for your medal emails, and what every email always contains.

The medal email is often the first thing a finisher sees from you after the race. You can choose who it comes from, where replies go and add a line or two in your own words. The rest is fixed, so every email puts the medal first and works on any phone.

Change your email settings

Only admins can change these. Everyone else on your team sees them, with a note to ask an admin.

  1. Go to Settings, then Delivery.
  2. Fill in what you need:
    • Sender name: who the email is from. It shows as "(sender name) via Breaktape". Leave it empty to use your organisation's name. Up to 60 characters.
    • Reply-to address: where finishers' replies go. Leave it empty and replies come to Breaktape, who'll point them your way.
    • Your message: a line or two from you, under the medal's headline. Up to 400 characters. Leave it empty for none.
    • When medals go out, by default: As soon as I release them, or At 7am the next morning, UK time.
  3. Press Save delivery settings. You'll see "Saved."

If an address doesn't look right, you'll see a message such as "The reply-to address doesn't look like an email address. Use one like name@example.com."

What every medal email contains

Whatever you set, each email has the same shape. For Priya Shah at the Harbourside 10K, it would be:

If the race was untimed, the lead line leaves out the time.

Updated medals

If you correct a result after release, the finisher gets a second email. Its subject is "Your Harbourside 10K medal has been updated", and it explains that the result was corrected and the link always shows the latest version. See Correcting results.

What the email never contains

  • No sponsor links and no adverts. Sponsors can be on the medal picture if you've placed them there, but the email has nothing to click except the two medal buttons.
  • No open tracking. We don't track whether finishers open the email.
  • No password. Keeping the medal uses a 6-digit code instead.

Writing your message

Keep it short and warm. A thank-you, a nod to the weather or the volunteers, and perhaps next year's date works well. For example: "Thank you for running with us in the rain. Next year's race is on 14 June, and entries open in January."

Your message is plain text, so there's no bold or other formatting, but line breaks you type are kept.

Good to know

  • Settings are read when each email is sent, not when you release. A change made after releasing with 7am tomorrow still applies to those emails.
  • The default send time is only the starting choice. You still choose each time you release. See Send times and quiet mode.
  • Thank-you medals use the same settings, with a subject such as "A thank-you medal from Harbourside Running Club".
