Send times and quiet mode
Choosing when medal emails go out, setting your usual send time, and using quiet mode for a dry run that sends nothing.
When you release medals, you choose when the emails go: first thing the next morning, or straight away. You can also switch on quiet mode, which makes every medal but sends nothing. Getting this right means finishers hear from you at a good moment, and a practice run never reaches a real inbox.
Choose a send time when you release
On the release page, under Options, you'll see When should the emails go?
| Option | What happens |
|---|---|
| 7am tomorrow | Medals are made and signed now. The emails go out from 7am UK time the next day, so finishers wake up to their medal. This is the one we recommend. |
| Straight away | Emails start going out as soon as the medals are signed. |
- Open the race's release page with Check sample and release.
- Under When should the emails go?, pick 7am tomorrow or Straight away.
- Check the sample, tick the box and press Approve and release.
- The confirmation box repeats your choice: "Emails go out from 7am tomorrow" or "Emails start going out now". Press Release medals.
"Tomorrow" means the next calendar day. If you release at half past midnight on Sunday, the emails go at 7am on Monday, not a few hours later.
Set your usual send time
The option picked when the release page opens comes from your settings. An admin can change it:
- Go to Settings, then Delivery.
- Under When medals go out, by default, choose As soon as I release them or At 7am the next morning, UK time.
- Press Save delivery settings.
This is only the starting choice. You can still pick the other option each time you release.
Quiet mode
Quiet mode makes and stores every medal but sends nothing. Use it for a dry run, to see a whole run through from start to finish without emailing anyone.
- On the release page, under Options, tick Quiet mode.
- Release as normal. The confirmation box says "Quiet mode is on, so no emails are sent."
- The progress page shows the badge Quiet mode: nothing is sent, and the run is marked Complete once every medal is made.
Use quiet mode on practice runs only
A medal released in quiet mode is a real medal. It's signed, it gets its public page and verification link, and it counts towards the medals on your Billing page. What it never gets is an email: emails for medals released in quiet mode can't be sent afterwards from the panel.
So use quiet mode on a practice event or race set up for the purpose, never on the real one. To look at medals before release without making them, use the design preview and test medals instead. See Previewing and test medals.
Good to know
- Emails can't be unsent. If you're not sure about the time, 7am tomorrow gives you the evening to spot anything and pause delivery.
- Your email settings are read when each email is sent, so a change to your sender name or message before 7am still applies to that morning's emails.
- On the progress page in quiet mode, medals held back count towards the Delivered by email bar. The badge is there to remind you nothing actually went.
- Only admins and editors can release medals. Only admins can change the default send time.
