Correcting a result after medals are out
How to correct a result after medals have been issued, and what happens to the old medal and the finisher.
Timing companies sometimes revise results after the race: a missed chip mat, a wrong time, a runner placed in the wrong race. Breaktape is built for this. You never edit or delete a medal. Instead, the corrected result becomes a new version, and the finisher gets a replacement medal that the old one points to.
How to correct results
- Get a corrected file from your timing company. It can be the whole race or just the rows that changed.
- Upload it from Imports with Upload a file. Choose the same event, and say whether the results are final.
- Match the columns and select Check the rows.
- Review and approve the import as usual.
- Check and release the correction. Breaktape prepares a correction run for the race. It appears on your Overview page as medals ready to check, and on the Issuance page marked "(correction)". Open it, check the sample and release.
What Breaktape does with the file
Each row is matched to the runner already imported, by bib.
- Unchanged results do nothing. Uploading the full file again is safe.
- Provisional results are simply updated. They never had a medal.
- A changed final result becomes a new version of that result. The old version is kept, with a note of what changed, such as the time or the status.
What happens when you release the correction
For each finisher whose final result changed:
- A new medal is signed with the corrected result, using the race's current medal design.
- The old medal is retired, never deleted. Its page still works, says "This medal was updated" and has a See the current medal button. Anyone verifying it is told it was genuine but has been replaced, with a link to check the current one.
- The finisher keeps it without doing anything. If they'd already kept the old medal, the new one is in their trophy cabinet in its place.
- The finisher gets an email with the subject "Your (event) medal has been updated", explaining that their result was corrected.
Replacement medals after a correction are never charged.
Example
Priya Shah's chip mat missed her at halfway, and her medal showed her gun time. The timing company sends a corrected file the next day. You upload it, and Priya's row is the only one that changed. You approve, check her replacement medal and release it. Priya's old medal page now points to her new one, and her trophy cabinet shows the corrected time.
Good to know
- Finish or release any medal run that's still open for the race before you approve a corrected file. A correction can only be prepared when no other run is open for that race.
- If a correction changes a finisher to DNF, DNS or DQ, their existing medal isn't withdrawn automatically yet. Email support@breaktape.com and we'll help.
- Correcting a name, email address or category by uploading a new file isn't available yet. Only results (status, times and positions) are updated. Email support@breaktape.com for those changes.
- If you've changed the medal design since the first release, replacement medals use the latest version.
- A runner who wasn't in the race's results before doesn't get a medal from a corrected file yet. Email support@breaktape.com if you need to add a missing finisher.
- If one change shifts many positions, such as a disqualification near the front, every runner whose position changes gets a replacement medal and an email.
- Use quiet mode on the correction run if you'd rather not email finishers about a small change.
