Reviewing problems before you approve
What errors and warnings mean, how to deal with them, and what happens when you approve an import.
Before anything from a file reaches a medal, Breaktape checks every row and shows you what it found. A wrong time on a signed medal is hard to take back, so this is the moment to catch it.
The review screen
Open the import from Imports or from Needs you on your Overview page. At the top you'll see four counts: Rows in the file, Ready, Warnings and Errors.
Below are three tabs:
- Errors: rows that can't go in as they are. Each must be dealt with before you can approve.
- Warnings: rows that will go in, but are worth a look. Filter them by type.
- No medal: runners marked DNF, DNS or DQ. They're imported with that status so your numbers add up, but only finishers get a medal.
Each row shows its spreadsheet row number, name, bib and time, with what's wrong. Select Show the row as it is in the file to see every cell.
Errors
| Problem | What it usually means |

| Duplicate bib | Two rows in the same race share a bib: a pasted line, a second mat crossing, or two people on one number. |
| Duplicate entry reference | The same entry appears twice. |
| Missing bib | No bib, so the row can't be matched to an entrant safely. |
| No name | Often a chip that wasn't matched to a runner. |
| Faster than the winner | A time faster than looks possible, often a split in the finish column. |
| Unreadable characters in a name | The file was saved in the wrong text encoding. |
| Time we can't read | Write times as hours, minutes and seconds, like 3:45:12. |
| Race we can't match | The race name or distance doesn't match a race in this edition, or there's no race column and the edition has several races. |
| Finished without a time | Marked finished, or blank, with no time. |
| Status we don't recognise | Use Finished, DNF, DNS or DQ. |
Warnings
| Problem | What happens |

| No email address or Email address that won't work | The medal is still made, but it can't be emailed. |
| No category | The medal won't show a category rank. |
| Possible duplicate person | Same name and email under two bibs. |
| Phone number we can't use | The number is left out. |
| A time on a DNF | Treated as not finishing, and the time is left out. |
| Wave we can't match | The runner imports without a wave. |
| Gun time only | Their time would include the wait before their wave started. |
| Value we can't read | That value is left out. |
Dealing with errors
On this screen you can skip a row with Skip this row. A skipped row isn't imported, so that person gets no medal from this file.
Changing a row here isn't available yet. Some cards show buttons such as Keep this one, Mark as fixed or Use the suggested spelling: these tell you to fix the row in your file instead. To fix rows:
- Correct them in your spreadsheet, or ask your timing company for a corrected file.
- Leave this import without approving it.
- Upload the corrected file and approve that one instead.
Fix the file before you approve. Once a race's medals are prepared, people added by a later file don't get a medal automatically yet.
Approving
When every error row has a decision, select Approve import. To skip every remaining error in one go, select Skip the rest and approve. Check the number in the box that opens, then confirm.
When you approve:
- The rows go into your results, in the background.
- For each race with a medal design, Breaktape makes draft medals for every finisher whose result is final. Where a final result changed under an issued medal, it prepares a correction instead.
- Your Overview page shows medals ready to check. Nothing is public until you release them.
Good to know
- Only admins and editors can skip rows and approve.
- A race whose results are still in review can't be released.
- Correct email addresses in your file before you approve. Adding or changing an address after the import isn't available yet.
