Your team and account

A quick guide to team roles, your charity's settings and billing, with links to the full organiser guides.

Thanking people well is usually a team effort: a volunteer manager sends the medals, a fundraising lead checks the lists, and someone in finance looks after invoices. Here's how to give each person the right access, and where your charity's settings live.

Your team

Go to Settings, then Team. You'll see everyone who can sign in to your charity, and what they can do.

Role What they can do
Admin Everything, including inviting people and changing their roles.
Editor Sets up events, imports results, and designs and releases medals. Can't change the team.
Viewer Sees events, results and analytics. Can't change anything.
Finance Sees analytics and usage, for invoicing. Can't change anything.

For awards, that means admins and editors can give medals and upload lists. Viewers and finance staff can see your awards page and what's been sent, but not the Give a medal button.

Invite someone

  1. Go to Settings, then Team.
  2. Under Invite someone, fill in their Email address, and their Name if you like.
  3. Under What they can do, choose a role.
  4. Choose Invite to team.

Only admins can invite people or change roles. Everyone signs in with a code sent to their email, so there are no passwords to share. See Team and roles.

Your settings

Settings has a tab for each part of your account:

  • Organisation: your charity's name as people know it (shown on medals, medal pages and emails), registered name, website, company and VAT numbers, a brand colour for your medal pages, your address and billing contact. See Organisation details.
  • Delivery: how your medal emails look and when they go. Set a Sender name, a Reply-to address so replies come to you, Your message (a line or two that appears in every medal email, up to 400 characters) and when medals go out by default. See Delivery settings.
  • Team: who can sign in, as above.
  • Sponsors: your corporate partners. See Corporate partners and sponsors.
  • Billing: your plan and invoices.
  • API: keys for connecting other systems. Most charities won't need this. See API keys.

Only admins can change your organisation and delivery settings. Others can see them.

A warm message for your supporters

Your message is worth filling in. It appears in every thank-you email, under the opening line, so it's a chance to say something personal, like "Every hour you give makes a difference to the families we support."

Billing

Go to Settings, then Billing, to see your plan, your invoices and how to pay. Billing is for admins and finance staff. Your plan is set up by Breaktape once your agreement is in place, and invoices are paid by bank transfer.

Medals that are re-issued after a correction are never charged. See Billing.

Good to know

  • Breaktape support staff sometimes sign in as your organisation to help. When they do, it shows on the Team tab with their reason, and it lasts an hour at most.
  • If you belong to more than one organisation, switch between them from the menu.
