Privacy, data and erasure

What finishers control about their medals, how under-13s are protected, what happens when someone asks to be erased, and what personal data leaves Breaktape.

Your finishers trust you with their names, times and email addresses. Breaktape is built so they stay in control of what's public, children are protected by default, and anyone can have their details erased without breaking the record of what you issued.

What finishers control

Once they've kept their medal, each finisher can choose, medal by medal:

  • Public or Private. A private medal's page shows only a note that it's private. It still verifies, without their details.
  • Hide my surname, so their page and new share images show "Priya S." instead of "Priya Shah".
  • Hide my time. Their position and category still show.

They can also delete a single medal, or their whole account and every medal in it, from their trophy cabinet. See What finishers get.

Children and teenagers

  • Under-13s' medals are always private. They never get a public page, can't be shared, and the child never gets an account. The adult who keeps the medal holds it for them in their own trophy cabinet.
  • 13 to 17 year olds' medals start private. The finisher can choose to make theirs public.
  • A race's age policy decides this. No medals can be released until you've set it. See Age policy and under-13s.

When someone asks to be erased

A finisher can erase themselves from their trophy cabinet at any time. If someone asks you instead, contact us at support@breaktape.com with the event, race and their bib number, and we'll carry it out. Please don't put their email address in the subject line.

Erasing a person:

  • withdraws their medal, and any earlier versions of it
  • erases their name, time and medal images from Breaktape
  • leaves their medal page and verification link in place, saying the medal was withdrawn and its details erased
  • keeps a count of the medal you issued, without their details
  • touches only that one person, never anyone else in the race

If the same person appears in a later results file for that race, their row is held for review, so a re-import can't quietly bring them back.

Medals are never deleted

A medal is a record of what you issued, so it's never simply deleted. When a result is corrected, the old medal is replaced and points to the new one. When a medal is withdrawn, its page and verification link stay, with a plain notice. Nobody who follows an old link finds a broken page, and nobody mistakes a withdrawn medal for a fake one.

What leaves Breaktape

  • The medal email goes only to the address in your results. It holds the finisher's first name, the race, their time and their medal: nothing else about them, no adverts and no sponsor links.
  • Analytics and exports hold counts only. No names, emails, times or bibs, so sponsor reports are safe to send.
  • Medal pages ask search engines not to list them, so a finisher's name and time don't turn up in search results.
  • Share images show what the finisher chose. If they hide their surname or time later, new images match, but images they've already posted elsewhere stay where they posted them.

Good to know

  • Finishers who didn't give an email address still have a medal, but nothing is sent and no one can keep it until an address is added.
  • Removing someone from your team doesn't erase finishers. It only stops that person signing in.
